Batch Documentation and Chain of Custody

Build a traceable record from supplier documentation through receipt, storage, and laboratory use.

Create a procurement record

Record the supplier, purchase date, product identifier, batch or lot, quantity, and linked documentation when material is ordered. On receipt, compare the shipment with that record and document discrepancies before the material enters laboratory inventory.

Preserve traceability in the laboratory

Use an internal identifier that points back to the supplier lot rather than replacing it. Record transfers, preparation steps, storage changes, and disposal under the same chain. Access controls and contemporaneous notes make later review more reliable.

  • Retain supplier labels and reports
  • Record receipt condition and date
  • Track internal aliquots to the source lot
  • Document deviations and disposition
